We are looking for an Executive Secretary to work in our New York office, providing secretarial support to the administration.

Key responsibilities for the role

  • Handle and prioritize outgoing and incoming correspondence (calls, e-mails, letters, among others)
  • Manage the executive’s diary
  • Assist in planning appointments and meetings, including room bookings, logistics and presentation material
  • Provide secretarial administrative support, including typing and editing documents and processing translation
  • Organise and store paperwork, documents and computer-based information
  • Make travel arrangements


  • Advanced secretarial qualifications and ideally a degree level education (secretariat, business administration, management or equivalent)
  • Minimum of three years of professional experience as an Executive Secretary
  • Excellent written and verbal communication skills
  • Fluency in English, Spanish and French (spoken and written)
  • Proficiency in MS Office
  • Excellent organizational and time-management skills
  • Ability to handle conflicting demands, prioritise tasks and work well under pressure
  • Punctuality, reliability, integrity and confidentiality
  • Driver’s license
  • Excellent interpersonal skills and ability to work independently and as a part of a team
